You don't have a weekend to dedicate to a locker audit. You won't need one.
Send us your locker list on a Monday. By Friday your members are looking at their own lockers on their phones, and you haven't typed a single bottle.
Your setup week
Three to five business days
Day 1
You
Send what you have. Your member list and locker assignments, in whatever shape they're in. A spreadsheet is fine. So is a photo of the binder.
Day 2
Us
We build your club. Members imported, lockers assigned, storage locations set up. You're not on the call.
Day 3
Both
One walk-through. An hour with you and whoever works the lockers. Scan a few bottles, pull one, read the log.
Day 4
You
Scan the lockers. Multi-bottle scan, one locker at a time. It's the audit you were dreading, done in an afternoon.
Day 5
Live
Members get their login. Their bottles, their labels, on their phones.
The last thing you need is another project.
Especially one with a login, a vendor, and a training day.
You've been through a software rollout before. The POS. The tee-sheet. The membership system. Each one came with a project plan, a kickoff call, a week of your evenings, and a stretch where the members noticed things were worse before they got better.
The locker program can't afford that. It has to keep running while you switch, because the bottles keep arriving and the members keep asking. So we set this up the way you'd want any vendor to: we do the part that's ours, you do the part only you can do, and the whole thing fits inside a normal week. Starting a locker program from scratch rather than switching one? Start here.
Here's exactly how the work divides.
Who does what
We handle
The part that would otherwise be your evenings.
Your member list. Names, contact details, locker numbers. We import it from whatever you send.
Your lockers. Every locker, every storage location, built and assigned before you log in.
Your club's look. Logo, colors, the name members see on their emails and their portal.
The walk-through. We come to you on a call, at a time that works around service.
Whatever goes wrong. A member can't log in, a locker's assigned twice, a label won't scan. You send a note; we fix it.
You handle
The part that needs someone who knows the lockers.
Send us what you've got. Ten minutes. Your list doesn't have to be clean; ours is the job of making it clean.
Show up for the walk-through. Bring anyone who'll be scanning bottles. It's shorter than a wine rep's visit.
Scan what's in the lockers. Point your phone at the bottles, locker by locker. The app reads the labels and fills in the rest. Most clubs finish in an afternoon.
Tell members it's on. We give you the note to send. After that they get a summary of their locker every month without you sending it. They open a link, see their bottles, and stop calling you.

What it doesn't ask of you
No hardware
Nothing to mount in the locker room, nothing to plug in. The scanner is the phone already in your pocket.
No IT project
It runs in a browser. There's nothing to install on the club's network and nobody from IT needs to be in the room.
No app for members to download
They open a link. It works on whatever phone they have, and the ones who'd rather call you can still call you; you'll just have the answer in front of you.
No re-keying
You never type a bottle. The label scan fills in the producer, the varietal, the vintage. Your existing list comes in as-is and gets better from there.
No downtime
Your spreadsheet keeps working until the day you stop needing it. There's no cutover weekend and no window where the lockers are dark.
Easy in, easy out
No multi-year contracts. If it isn't earning its keep, you're not stuck with it. You download your data and move on.
After you're live
The first week, you'll hear from members who logged in and found a bottle they'd forgotten about. The first month, you'll notice the "what do I have down there?" calls thinning out. And the first time a member says "I'm sure I had two of those," you'll pull up the log instead of pulling up a chair.
Here's what those calls cost you in a year.
If something's off, you have a person, not a ticket queue. Same people who set you up.
Bring your locker list to the demo
Thirty minutes. We'll scan a bottle, show you the member view, and tell you which day you'd be live if you sent us the list tomorrow.
Common questions
What do you need from me to start?
Your member list with locker assignments, in any format. A spreadsheet, an export from your membership system, or a photo of the binder all work. If some of it's out of date, send it anyway; the locker scan on day four corrects it.
How long is the walk-through?
An hour on a video call, scheduled around service. Bring anyone who'll be scanning bottles. And most clubs are ready to go without our help after the demo call.
Do I really have to scan every locker?
Yes and no. We can import a full locker audit in minutes if you already have it electronically (a spreadsheet, for example). You can also add bottles by name through our interface, but scanning the bottles enables you to show your Members their actual bottle, and runs a full AI import of all the bottle details: vintage, varietal, tasting notes, and even drinking windows. All done automatically, providing a rich view of their wine personalized to every Member.
What happens to my spreadsheet?
We import it as your starting point. Nothing is lost. Everything in bevSavvy exports back to a spreadsheet any time you want it, so you're never locked out of your own data.
Does it work with our POS?
bevSavvy runs alongside your POS rather than replacing it. Charges keep flowing through the system you already use. If a deeper integration would matter to your club, tell us at the demo and we'll talk through what's possible.
What if a member won't use it?
Nothing changes for them. You look up their locker on their behalf the same way you do now, except the answer is on your phone instead of in a binder.
