Want the labor number before the pricing meeting?
If you run a wine locker program, you know what that sentence usually costs: a weekend of clipboards, a spreadsheet that's right until someone asks, and a count that starts drifting the week after you finish.
I did this one myself, with a phone, at a real club. Here's how it went, what surprised me, and what it could look like at yours.
Every bottle scanned, every bottle assigned
The equipment was a phone. I went through the lockers, scanned every label, and by the end each bottle was assigned to the member who owns it.
The scan does the typing. For wine, bevSavvy fills in the vintage, varietal, tasting notes, and drinking window on its own, and it keeps a photo of the actual bottle. Beer and spirits labels scan the same way, so the whole bank ended up in one record. Here's how locker management works.
Nothing to mount and nothing to plug in. Here's what setup looks like if you'd like the long version.
Pours left in the tequila
For spirits, we also tracked how much is left in each bottle. A member can see how many pours remain in their tequila, not just that a bottle with their name on it exists.
That's a detail no clipboard ever carried, and it turns "do I have any left?" into a number. It's also one more reason a member opens their locker on their phone. Here's what that does for your sales and what changes for your members.
What 45 minutes replaces
The usual audit is a weekend: hand-count every locker, reconcile the sheet, find the bottle that's in the wrong place, fix the sheet, and do it all again next year. We ran the numbers on a typical mid-size program and it came out to roughly 200 staff hours a year, and the audit is one weekend of that.
To be fair, 45 minutes was one bank of 30-plus lockers. A bigger program will take longer and a smaller one less. The point is the shape of the work: a phone, a label, and a member, instead of a clipboard and a spreadsheet nobody trusts.
Want your own number? The cost calculator starts with a typical program and lets you change it to yours.
How to run yours
You don't need to do it the way I did. There are a few ways in, depending on what you already have.
- Start from your existing list. If you already have an audit in a spreadsheet, we can import it as your starting point. A spreadsheet is fine.
- Scan what's in front of you. Burst scanning keeps a big pile of bottles moving, and scanning gives members the actual photo of their bottle.
- Add by name when a label won't scan. It's rare, and it's usually a small producer or a hand-written label.
- No lockers at all? Virtual wine lockers work the same way for member wine held in a back room or on a shelf.
The walk-through is one hour on a video call, and most clubs are ready to go on their own after that. Here's the full picture of getting started, or how to start a locker program from scratch.
After the audit
The audit is day one. From there the record keeps itself straight. Members see their lockers on their phone and get a monthly summary of what's in them. They can ask the AI sommelier what to pair with dinner, and the tableside viewer puts a locker on a tablet when you'd rather talk through the bottles at the table. Your Club Administrators get a real-time dashboard instead of a phone call.
Want to see how an audit would go at your club? Book thirty minutes. Tell us how your lockers run today and we'll show you on a video call. If it's not a fit, you'll know in ten. Request a demo.
P.S. The audit is one weekend of roughly 200 staff hours a year. See what yours adds up to.
